A national youth employment program funded by Employment and Social Development Canada needed one connected system to run recruitment, intake, training, placement, and funder reporting. We built it, and replaced manual roll-ups with one-click, contract-ready reports.

End-to-end delivery and reporting for a federal youth employment program

A national youth employment program funded by Employment and Social Development Canada was delivering across many cohorts, often in remote and northern communities. Recruitment, intake, training, placement, and the funder reporting that pays for it all were spread across disconnected spreadsheets and tools, so staff spent hours each reporting period stitching numbers together by hand.

What we built

  • Public recruitment and per-cohort intake with automatic eligibility and seat tracking
  • Participant records with the fields the funder requires, plus duplicate detection and status tracking
  • Placement and timesheet tracking with hour flagging at required thresholds
  • Travel and logistics tracking built for northern and fly-in delivery
  • Automated demographic roll-ups into contract-target metrics
  • One-click, formatted funder reports generated to Google Docs

One connected system now carries a participant from first application through placement and into the funder report, with contract-target metrics calculated automatically instead of by hand.

Result

226 participants across 14 to 17 cohorts, with demographic roll-ups feeding contract-target metrics and one-click funder reports.
